Your information

 

In order to attend a session you are required to register with our online booking software (Teamup). This registration process will require your name, email address, date of birth, emergency contact and some medical information. We need this data in order to keep you safe in your session with us. By registering with Teamup and attending a session you are agreeing to be honest when answering your medical questions and agreeing to inform us of any medical information that might affect your participation in class EVERY TIME you attend a class. You are responsible for updating your medical information on Teamup and for informing your instructor of any physical or emotional concerns you have about taking part. Your safety and well-being are our number one priority so it is important you adhere to this requirement. Age limits

 

Adult classes are suitable for anyone over the age of 16 years unless specified in the class information. All classes are considered adult classes unless specifically labelled as Children’s classes.

 

 
Payments

 

Payment must be made in full via debit or credit card or online direct debit before you can attend a booked class. 

 

Payments are processed via Gocardless and Stripe. Both of these processors can take a few days to take money from your account and to deliver it to Pole Passion Bognor. Whilst a payment is 'pending' we are unable to refund it, so if you request a refund as per the Terms and Conditions, we may have to wait until the payment is no longer pending. No account or card information is seen or stored by Pole Passion Bognor or Teamup.

 

If a payment fails due to insufficient funds or incorrect information, Pole Passion Bognor may attempt to take the payment again. If this fails you will be contacted and asked to update the details or make sure sufficient funds are in your account. Repeated failures will result in your account being set to only allow booking classes enough time in advance to ensure the payment is received before you attend. Please remember that we are a small business and failing to pay has a direct effect on our ability to continue operating. 

 

 
Bookings

 

Single sessions

 

Single session bookings are available for most classes. Single sessions must be booked and paid in advance.

Memberships

 

Basic Membership allows you 1 standard class (pole fitness, aerial hoop, aerial silks or mixed aerial) or practice session per week at any of the Pole Passion Bognor, Littlehampton or Chichester venues. Superior Membership allows you 2 standard classes or practice sessions (pole fitness, aerial hoop, aerial silks or mixed aerial) per week at any of the Pole Passion Bognor, Littlehampton or Chichester venues. Weeks run Sunday to Saturday. 

 

Pre-Pay class blocks

 

Pre-pay standard class block (4 lessons) allows you 4 standard classes (pole fitness, aerial hoop, aerial silks or mixed aerial) or practice sessions in any of the Bognor, Littlehampton or Chichester venues within 6 weeks. After 6 weeks any remaining untaken classes will be lost. ​Pre-pay standard class block (8 lessons) allows you 8 standard classes (pole fitness, aerial hoop, aerial silks or mixed aerial) or practice sessions in any of the Bognor, Littlehampton or Chichester venues within 8 months. After 8 weeks any remaining untaken classes will be lost. 

 

Courses

 

Courses are run for a set number of weeks and are booked and paid for in advance. Some courses allow individual sessions to be booked and others only allow full course registration. Details can be found on the course information in Teamup.

Class cancellations and refunds

 

If you cancel….

 

If you unregister more than 24 hrs before a class

 

  • and have paid for that single session, a full refund will be issued.

 

  • and you have booked with a prepay class block, you will have a class added back onto your block.

 

  • and you have booked with a membership, you will then be able to book an alternative class that week. If you have to unregister from a class and cannot attend an alternative that week, we offer catch-up sessions on a discretionary basis. This is usually for circumstances such as severe illness, injury or difficult personal circumstances. Catch-up sessions are added to your account and allow you to book an extra class at no extra cost within 30 days of the session being added to your account.

 

  • and the class is part of a course, you will not qualify for a refund. This is because courses are priced to be as cheap as possible per class.

 

Catch-up sessions are added on a discretionary basis and Pole Passion Bognor’s decision is final.

 

If you change your mind and decide to unregister from a class with less than 24 hours notice a 100% cancellation fee will apply. No refund will be issued.

 

 

If we cancel….

 

Pole passion Bognor reserve the right to cancel classes up to 1 hour before the advertised start time. This will only occur in exceptional circumstances (such as instructor illness and no cover instructor available, premises unexpectedly closed, severe weather etc) or where there are an insufficient number of students booked.

 

In the event that Pole Passion Bognor cancel a class:

 

 

  • Students booked into a single session will receive a full refund of the amount paid for the session.

 

  • Students booked into a cancelled class with Basic or Superior Membership will be offered the opportunity to attend a different class that week or within the following 4 weeks (via a catch up session), or a partial refund equating to the payment for one class will be offered.

 

  • Students on memberships who are not booked into the class 24 hrs before the advertised start time will not be offered a refund except in exceptional circumstances.

 

  • Students booked on courses will be offered an additional session at an alternative time. In the event that you cannot attend the alternative session, a refund equating to the payment for one class will be offered.

 

Refunds will always be processed via the original payment method, with the exception of agreement of both parties to refund via account credit.

Membership and course cancellations

 

If you cancel…

 

Memberships must be cancelled by the last day of the month before the month you wish to cancel, regardless of how far into the month the cancellation takes place.

 

For example:

To cancel a membership in at any point in April, the cancellation must be processed on the online system by 31st March.

 

In the event that the cancellation is processed by the end of the month before but a direct debit or bank transfer payment takes place subsequent to the cancellation, refunds will be issued as soon as the payment is no longer 'pending'. 

 

It is your responsibility to cancel a membership. In the event that you discontinue attending sessions but fail to cancel a membership, any subsequent payments do not automatically qualify for a refund.


Courses are priced to be as cheap as possible per class. For this reason, we do not offer refunds on courses once they have been purchased.

 

If we cancel….

 

Pole passion Bognor reserve the right to cancel courses up to 1 hour before the advertised start time. This will only occur in exceptional circumstances (such as instructor illness and no cover instructor available, premises unexpectedly closed, severe weather etc) or where there are an insufficient number of students booked. In the event that Pole Passion Bognor cancel a course, full refunds will be offered to students who are already booked.

Children’s courses and classes

 

Pole Passion Bognor reserve the right to ask a student to sit out of a class or to cancel their course, membership or class attendance. Children’s courses have a set of class rules that explain the way we expect children to behave during the session. Any child who repeatedly breaks these rules may be asked to sit out of the class or to no longer attend. Instructors have a duty to keep the class a safe environment for all students, and poor behaviour is a distraction that can make this difficult.

 

 

Child Supervision sessions

 

During these sessions child supervision is provided by a responsible adult for children that have been booked in advance, where the legal guardian is attending the pole fitness session running at the same time.

 

The child can be supervised from 10 minutes before the class and must be collected 5 minutes after the session ends. Late collections will incur a fee of £5.

 

All sessions MUST be booked in advance.

 

During the session, you remain fully responsible for your child. You may be required to stop participating in your class if your child needs your attention and the responsible adult is not able to attend to their need.

 

The responsible adult is a qualified childcare professional and will do their best to entertain your child. If your child’s behaviour is deemed to be too disruptive to the group you will be asked to remove them.

 

Relevant medical information including allergies must be provided when the child is registered.

 

You may bring your own drinks but no food is permitted during the session.

 

Some toys will be provided that are age appropriate for the group. You are welcome to bring your child’s favourite toy but if it is deemed inappropriate for the age range of the group you may be required to remove it for health and safety reasons.

 
 
General terms and conditions

 

Pole Passion Bognor reserve the right to refuse admittance to any session.
